How the Certification Process Works

To complete your notarization, please follow these steps:

1)Bring the Physical Originals: You must bring the original, physical documents to your appointment. A Notary Public cannot certify a true copy using a pre-existing photocopy, a scanned PDF, or a photograph on a smartphone.

2)Detailed Comparison: Our Notary will compare the original document against the photocopy in precise detail to ensure no information has been edited, erased, or altered in any way.

3)Applying the Seal: Once authenticity is verified, we will apply an official Notarial stamp, signature, and date directly onto the duplicate copy, formally certifying it as a true representation.

What is the difference between a Certified True Copy and a standard photocopy?

A standard photocopy carries no legal weight and can be easily manipulated or altered using digital editing software. A Certified True Copy features the wet-ink signature, date, and raised cryptographic seal of an appointed Notary Public. This official certification legally guarantees to courts, universities, and foreign governments that the copy is an exact, unaltered reflection of the original physical document.

Can Certified True Copies be completed through an online virtual notary?

No. Under Ontario regulations, Certified True Copies cannot be executed through remote online notarization. While affidavits and statutory declarations can be legally commissioned over video calls under O. Reg. 431/20, certifying a true copy requires a Notary Public to physically handle, hold, and inspect the original document to protect against sophisticated fraud and sophisticated colour forgeries. For this reason, you must present your documents at an in-person or mobile notary appointment.

Can an Ontario Commissioner of Oaths certify a true copy?

No. In Canada, a Commissioner of Oaths does not possess the legal authority to create Certified True Copies. While a Commissioner can witness your signature on a sworn statement, only an appointed Notary Public holds the broader statutory power required to officialize, stamp, and certify duplicates of physical identity and legal documents.
